About ACE Wellness Center: ACE Wellness Center is dedicated to providing high-quality behavioral health services to our clients. We are committed to fostering a supportive environment that promotes healing and personal growth. We are currently seeking a detail-oriented and compassionate Intake Specialist to join our team.
Position Summary: The Intake Specialist is responsible for managing the intake process for new clients, ensuring all necessary information is collected and entered into our Simple Practice database accurately. This role involves initial client contact, data collection, and coordination with clinical staff to facilitate a smooth entry into our programs.
Key Responsibilities:
1.Client Intake Process:     
o Initiate communication via phone calls/emails with potential clients to gather necessary onboarding information within 24 business hours of receiving the referral.
o Conduct initial phone screenings with potential clients to gather essential information and determine eligibility for services.
o Schedule intake appointments and provide clients with necessary documentation and information about their upcoming visit.
2.Data Entry and Management:     
o Accurately enter client information into the Simple Practice database, ensuring all fields are complete and up-to-date.
o Maintain organized records of all intake documentation and correspondence.
o Collect and input data on the intake process, including client demographics, referral sources, and service needs.
3.Coordination and Communication:     
o Coordinate with clinical staff to assign new clients to appropriate programs and therapists based on their needs and availability.
o Communicate effectively with clients, families, and referral sources to provide information and answer questions about the intake process.
o Follow up with clients to ensure they attend their scheduled intake appointments and address any barriers to attendance.
o Make three phone calls weekly to potential clients to follow up on their intake progress.
4.Program Evaluation:     
o Collect and analyze data on the intake process to identify trends, areas for improvement, and client needs.
o Provide regular reports to the Clinical Director on the efficiency and effectiveness of the intake process.
o Participate in team meetings to discuss findings and contribute to the development of strategies to enhance service delivery.
5.Compliance and Confidentiality:     
o Ensure all intake procedures comply with organizational policies, state and federal regulations, and confidentiality requirements.
o Handle sensitive client information with the utmost care and confidentiality.
Qualifications:
·         Education: High school diploma or equivalent required; associate's or bachelor's degree in behavioral health, social work, psychology, or a related field preferred.
·         Experience: Previous experience in a behavioral health setting, intake coordination, or data entry is highly desirable.
·         Skills:
o Excellent organizational and time management skills.
o Strong communication and interpersonal abilities.
o Proficiency in using electronic health records (EHR) systems, particularly Simple Practice, is preferred.
o Ability to handle confidential information with discretion and professionalism.
·         Attributes:
o Compassionate and empathetic approach to client interactions.
o Detail-oriented with a high level of accuracy in data entry and documentation.
o Ability to work independently as well as part of a multidisciplinary team.
Working Conditions:
·         Typical office environment Monday- Friday.
·         Some evening or weekend hours may be required to accommodate client needs.

Compensation: $20.00 - $25.00 per hour
